Job Description

Working under the supervision of the Manager, the Client Relations Coordinator is required to coordinate all aspects of client relations and inbound sales related to Solutions and Learning Programs. S/he is required to achieve sales targets set by the management and will be responsible for the commercial wellbeing of the clients while ensuring repeat business. The incumbent should also handle project coordination, provide administrative support and cater other tasks as assigned.

The role of the Client Relations Coordinator is to develop important channel relationships and general sales. It also involves understanding and tapping into the full potential of the business by sales, information management and customer service. This is an ongoing process requiring continuous improvement.

Some of the main duties and responsibilities include, but are not limited to:

CLIENT RELATIONS:

  • Communicating with clients to understand their needs and explaining the services value.
  • Resolving clients’ day-to-day queries and providing support for routine issues.
  • Maintaining a close and cordial professional relationship with clients to ensure that they are fully satisfied with Saber Middle East’s services.
  • Analyzing the market to create or recommend new products and/or services & promotional strategies based on competitors’ activities & other industry sources.
  • Conducting market research and prospecting leads to identify new business opportunities.
  • Searching for Business Development opportunities (Daleel Madani, DARPE, Relief web and other sources) to identify RFPs, RFQs and Tenders.
  • Preparing and coordinating Proposals in collaboration with the Manager.
  • Forecasting sales, qualifying customers, and closing deals to achieve sales targets and objectives (monthly and quarterly).
  • Following up with clients after delivery of services to secure repeat or more business.
  • Maintaining the database of clients and prospects.

PROJECT COORDINATION:

  • Understanding Terms of Reference to support governance arrangements of the project.
  • Communicating with the Manager to arrange for projects’ requirements and objectives.
  • Creating a project schedule with milestones, due dates, and estimates for required materials and resources to be submitted to the Manager for approval.
  • Coordinating with consultants/trainers responsible for overall planning, implementation, and effectiveness of professional development strategies and initiatives.
  • Building up the project surveys and questionnaires when needed.
  • Assessing project risks and issues and providing solutions where applicable.
  • Acting as the point of contact with consultants/trainers, communicating project details and briefing them on their assignments.
  • Making sure that the consultants/trainers have the tools needed to execute the project.
  • Arranging and attending all related project meetings (internal & external with the client) to keep track of project progress by taking minutes.
  • Preparing necessary presentation materials for meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Monitoring assignment execution to meet project goals.
  • Ensuring all project’s deliverables are submitted by assigned deadlines.
  • Handling necessary administrative paperwork and other documentation needed for project validation and research quality control.
  • Overseeing the Business Solutions and Learning Programs sections of the website in coordination with the Marketing.
  • Identifying and implementing new technologies and methodologies.
  • Fostering a culture and framework of innovation and excellence.
  • Providing administrative support as needed.

ADMINISTRATION:

  • Answering telephone calls, addressing the needs of the caller, and redirecting to the people concerned.
  • Responding to inquiries via emails, phone calls, social media (LinkedIn, Facebook…) in a timely manner.
  • Scheduling meetings, interviews, events and booking conference rooms.
  • Inquiring for quotations from suppliers and comparing pricing.
  • Supporting in developing team dynamic events.
  • Maintaining and reporting on workplace health and safety compliance.
  • Providing general administrative support and maintaining relevant filing.

Requirements and Qualifications

  • A degree in business or related field
  • At least 3 years of relevant work experience
  • Proficiency in Microsoft Office Suite, with working knowledge of CRM platforms
  • Efficient researching, sales leads, and prospecting skills
  • A customer-centric approach and attitude
  • Excellent organizational and multi-tasking skills and ability to prioritize work.
  • Fluency in both English and Arabic (speaking and writing)
  • Proper time management skills
